“Wiveliscombe Area Partnership is a charitable organisation based in Wiveliscombe, serving the local community. From the Community Office we run the Wivey Link community transport service with over 600 members and over 10,000 journeys a year.

We are looking for a Wivey Link Coordinator to join our busy team. This is a part-time, permanent role supporting the Wivey Link Manager and Office Manager to ensure the smooth running of the service. The role has the potential to become full-time, pending further funding.

Key Responsibilities

o Supporting the day-to-day running of Wivey Link.
o Supporting the Wivey Link Manager with scheduling using our database.
o Running reports for Office Manager / Board meetings / Fundraising purposes.
o Answering phones and taking bookings.
o Supporting and answering queries from volunteer drivers.
o Organising, updating, and maintaining the database.
o Recruiting, supporting and ongoing training for office volunteers with support from Office Manager.
o Working with Bookkeeper to keep on top of invoices and chase non-payments.
o Resolving transport issues as they arise.
o Providing cover for the Wivey Link Manager, and
o General office admin including greeting visitors

“You will support the Wivey Link Manager to provide a professional, safe, efficient, and reliable transport service for members of the public including vulnerable adults and/or vulnerable children and young people.

Person Specification

o Excellent people skills, sympathetic and patient with people from all backgrounds.
o Good problem-solving skills.
o Positive and friendly attitude.
o Ability to organise own workload.
o Good written and verbal communication skills.
o Demonstrable IT skills including managing databases.
o Team player, willing to help colleagues when necessary, and
o Calm under pressure.

Knowledge and experience

Essential

o Working with older people and vulnerable adults.
o Working as part of a team and alone.
o Using online software systems including databases, running reports, office 365, and
o Experience working with volunteers including recruitment, training, supporting.

Desirable

o Recent experience of working within a driving environment.
o Experience of working within the charity sector.
o Experience raising and sending invoices.
o A good knowledge of the local area.
o Proficient in using transportation management software and systems.
o Knowledge of transportation regulations and safety standards, and
o Experience managing a fleet of vehicles, maintenance and problem solving.
