(1) General Manager: up to 20 hours per week (£12 to £14 per hour).
Main Purpose of Job: the General Manager has the overall responsibility of managing the organisation.
Relationships:
A) Responsible to: the WHERE Committee.
B) Responsible for: staff /volunteers/clients.
C) Liaison with: the WHERE committee, fundraiser, all staff and volunteers, funding and statutory bodies, external agencies and other local organisations.
Main Tasks of job:
o To manage, supervise and support staff and volunteers in order to maintain the standards required by WHERE, its clients and stakeholders.
o Ensure safety of clients.
o Liaise with Committee members and implement strategies endorsed by them.
o Research areas in the Health and Social Care sector, where there is a lack of service provision and to develop proposals to meet such needs.
o Responsibility for day to day budget, monitoring budgets for all service provisions and giving financial review to committee on regular basis, prepare payroll and pay staff, deal with inland revenue and any other payroll associated tasks, prepare invoices and collect all income due, reconcile bank and petty cash, assist in preparation of annual accounts and provide all relevant information requested and deal with all companies house and charities commission matters.
o Prepare regular financial review of all managed projects for committee.
o Ensure that WHERE is complying with all contract terms, including provision of statutory and other insurance requirements and renegotiate contract terms when appropriate.
o Ensure public services used by WHERE eg broadband and phone service, is supplied in the best financial interests of the organisation.
o To attend training when required and to facilitate staff training in all aspects of the service, policies and philosophy as well as current legislation, events and other matters that staff members may require.
o To identify any potential service development that would improve WHERE and ensure that all service improvements/changes/development are implemented quickly and effectively.
o Liaise with fund raiser to research funding possibilities and oversee and agree funding applications
o To organise meetings with staff, volunteers, external and statutory bodies.
o To update and maintain all internal policies and procedures, ensuring compliance with statutory, contractual and external requirements.
o Maintain and develop appropriate records.
o Promote the external image of WHERE and the services and activities that it provides using any means available i.e. local media, social media and outside agencies and
o Undertake any other duties as required by WHERE committee and to be prepared to work flexible hours.
(2) Assistant Manager: up to 20 hours per week (£10 to £12 per hour).
Main Purpose of Job:
o To prepare premises for the day, ensuring that group leaders have organised activities/presentations/stimulation for services uses.
o To ensure that premises are safe.
o To oversee and be responsible for volunteers working with service users.
o To welcome new clients along with group leader.
o Ensure that all Health and Safety measures, COVID restrictions and any other safety measures appropriate at that time, are in place and adhered to, and
o To work with group leaders to ensure that all needs of service users are met.
Relationships:
A) Responsible to: General Manager
B) Liaison with: The General Manager, volunteers, funding and statutory bodies, external agencies and other local organisations, when necessary.
Main Tasks of job:
o Supervise and support group leaders and volunteers in order to maintain the standards required by WHERE, towards its service users.
o Liaise with General Manager and implement strategies or new provisions as discussed.
o Develop proposals to meet service users needs and ensure that all needs are met.
o To organise and support meetings with group leaders/volunteers/external agencies as appropriate.
o Maintain all appropriate records.
o Promote the external image of WHERE and the services and activities it provides using any means available i.e. local media, social media and outside agencies.
o In the absence of General Manager, perform duties such as they may undertake.
o Undertake any other duties as required by the General Manager.
(3) Cook: 17.5 hours per week (£8.91 per hour)
Main Purpose of Job:
o To prepare menus and purchase/order ingredients.
o To prepare and cook meals to be served in café and to maintain required standards of cleanliness and hygiene.
o Ensure that all records are maintained and information entered correctly and regularly.
o Give information as required on Allergens etc. and to ensure that kitchen is compliant with all current food hygiene legislation.
o Organise and co-ordinate delivery of meals.
Relationships:
A) Responsible to: Assistant Manager/ General Manager
B) Responsible for: volunteers in kitchen
C) Liaison with: the Assistant and General manager and all kitchen volunteers, suppliers and external agencies i.e. Environmental Health, taking advice and cooperating.
Main Tasks of job:
o To carry out all opening checks for kitchen and ensuring that all covid restrictions are in place.
o Check and record required information.
o Update menus to fit with provisions, seasonal/cost/availability.
o Prepare and cook food for the day.
o Purchase of provisions as required in liaison with General Manager.
o To prepare and make produce for sale to service users.
o Store fresh provisions correctly and ensure all food in freezer/fridge is marked correctly, and dry goods marked with date opened.
o To maintain all safe practices in the kitchen and ensure that the standards required by WHERE and inspecting bodies are adhered to.
o Ensure that all equipment used in the kitchen is maintained and in a safe condition.
o Oversee volunteers working in kitchen and making them aware of all safety issues, and
o To carry out such further tasks as may from time to time be delegated to you by the General Manager.
